Frequently asked questions
What is Property Portal?
A shared ledger for property maintenance. A resident reports something like a leaking sink. A manager assigns a technician. Status, photos, and comments update live for everyone on that job.
Who pays?
The company account. Free covers one building so you can try the product. Paid plans unlock more buildings. Residents and technicians join with an invite and are not billed. See pricing.
Do residents get checks before they report?
Often, yes. When a resident picks a kind of problem, such as a disposal or a tripped breaker, they see one to three safe steps to try first, like resetting a reset button. If one of them fixes it, nothing is sent. Anything that sounds like an emergency, such as a gas smell, flooding, sparks, or a cold unit, skips the checks and goes straight to you as urgent. Owners and managers can turn this off on Account, and see how often the checks resolved things on the dashboard.
How do people join?
Owners and managers send an invite link from People. Staff pick a role; residents are tied to a unit. Anyone with an account can also paste a join code on Account.
Is there a mobile app?
Yes. The Android app is on Google Play. It uses the same sign-in and the same live data as the website. The iOS app is coming soon. Store listings use this same privacy and terms pages.
Why did I get an email code?
New phones and browsers confirm with an email code before they stay signed in. Password resets also send an 8-digit code. Harbor Court demo logins use the published demo password and do not use reset.
How do maintenance costs get tracked?
Owners and managers see every cost on Expenses, filtered by building, unit, date range, or category, with totals and a CSV export. When a work order with a cost is marked completed, its cost posts to the ledger automatically; editing the cost on the work order updates that entry. Technicians can log a cost on their own jobs, and staff can add costs that are not tied to a job.
How long do you keep work orders?
While your company account is active, work orders, comments, photos, and status history are kept with no age limit.
What happens if we cancel?
Canceling a paid plan starts a 120-day deletion of that company’s buildings, work orders, and photos. You can still export or finish work during that window.
Who can see a work order?
Residents see their own units. Managers see the company portfolio. Technicians see jobs assigned to them. Access is checked on the server, not only in the app screens.
How do we track appliances and warranties?
Each building has an asset list. Record the type, make, model, serial number, install date, and warranty end date, and add photos. Assets belong to a unit or to the building’s common areas. A warranty that ends within 60 days is flagged. Link an asset to a work order to see its repair history and total repair cost. Residents do not see the asset list.
